TalentLoop (Estonia) - End-to-End Recruitment Management System

Overview

TalentLoop began with a simple but powerful idea: streamline the hiring process for growing companies without sacrificing the human touch. The client wanted a platform that could manage everything, from job postings to candidate onboarding, while giving recruiters the tools to move fast & hire smarter.

The task was about designing a workflow engine that respected the complexity of hiring while making it feel effortless. I led the team, starting with a discovery sprint to map out recruiter pain points, candidate journeys, & compliance requirements. Every sprint delivered a functional layer of the hiring funnel, validated through real recruiter feedback.

Technologies

To build a responsive, secure, & scalable system, we chose a tech stack that could handle complex workflows & high user engagement:

Frontend: React.js with Redux for state management

Backend: Node.js with Express & MongoDB for flexibility & speed

Authentication: JWT, OAuth2, & role-based access control

Integrations: LinkedIn API, Google Calendar, Zoom SDK

Cloud Infrastructure: AWS (EC2, S3, SES), Docker, GitHub Actions

Team

I led a cross-functional team of seven:

  • 2 Frontend Developers
  • 2 Backend Developers
  • 1 UI/UX Designer
  • 1 QA Engineer
  • Product Owner (Myself)

I facilitated all Scrum ceremonies & worked closely with HR consultants & recruiters to ensure the product aligned with real-world hiring workflows & compliance standards.

Challenges

Interview scheduling system: A challenge was building a flexible interview scheduling system. We had to account for time zones, interviewer availability, & integration with external calendars. I worked with the team to build a dynamic scheduling engine that synced in real time & reduced no-shows by 40%.

Candidate data privacy: The second challenge was candidate data privacy. We implemented GDPR-compliant data handling, including consent tracking, data export, & deletion workflows, all while keeping the UX frictionless. 

Accomodating multiple roles: A third challenge was designing for multiple user roles with distinct needs, recruiters, hiring managers, & candidates. Each needed a tailored interface & permissions model. I collaborated with the design team to create role-specific dashboards & workflows, ensuring clarity without clutter.

Conclusion

We launched TalentLoop to a pilot group of HR teams across three companies. Within the first month, time-to-hire dropped by 25%, & recruiter satisfaction scores jumped significantly.
